Dear Sir

I have just received your letter and come to know about your promotion and transfer to City Name.

First of all, accept my heartiest congratulations on your promotion. You really deserve it. So far, vacating the house is concerned, don’t worry about it, you can vacate it as per your convenience. Just give me a phone call in advance, so that I can take the possession of the vacant house and refund your security amount.

As the house is meant to let, so whosoever requests to take your place here, we may let it to him, on the same terms and conditions. I have informed my estate agent, about the house getting vacant. Please be kind enough to allow him to visit the house and to show it to the other prospective tenants. Since your family will be here, please ask your family to allow my estate agent to proceed with the formalities.
